About the Position

The HR Coordinator will be responsible for projects, organization and support for the firm’s HR initiatives.  This role will also provide day-to-day administrative support for one HR Managing Director, one Senior Vice President and one Vice President.


We are seeking a candidate who is proactive, highly organized, not easily flustered, and capable of handling multiple priorities.  The ability to take ownership of projects is very important, but the candidate must be comfortable with the administrative aspects of the role. Resourcefulness, ability to learn quickly, the ability to understand the “big picture” while processing detailed information are critical. This individual must be highly discreet as there is exposure to confidential information as well as sensitive situations. 


This individual will provide backup administrative support to the Chief Human Resources Officer, and two other Managing Directors.


Hours: 8:45am –5:30pm; with additional overtime as needed


Responsibilities

General HR support and operations:

  • All events sponsored by HR, such as flu shots, biometrics screening firm-wide update calls, Administrative Assistants Day, and Women’s Initiative events, including full responsibility for invitations, RSVPs, vendor communication, day-of oversight
  • Logistics of new hire orientation including organizing lunches, conference room setup, and preparation of new hire packets 

·        Coordination of quarterly and annual Harassment Prevention Training sessions, including managing employee acknowledgements and uploads to HRIS platform

  • Support any processes in relation to planning and executing HR sponsored events
  • Database maintenance which feeds to the firm’s intranet
  • Support HR Generalists by tracking various processes, such as performance reviews
  • HR file maintenance and offsite storage process
  • Coordinate, monitor all legally required information for US offices
  • Support in-office COVID-19 protocols, as needed

General administrative tasks:

  • Expense reporting, schedule meetings, and answer phones
  • Allocating and submitting HR related invoices
  • Filing, printing, scanning, organizing decks for meetings
  • Reviewing incoming mail and managing outgoing packages, including sensitive documents
  • Provide back-up to NY Headquarters Reception desk, as needed
  • Creating and submitting IT requests
Qualifications
  • Discreet, reliable, confident
  • Customer service oriented
  • Detail oriented and comfortable juggling multiple responsibilities
  • Proficient in MS Office, in particular Excel
  • Workday experience a plus
  • 1+ years of relevant corporate experience
