About the Position:
This position will assist the Expense/AP Accounting team in reviewing and processing expense reports and providing updates to monthly/quarterly/ad hoc allocation requests. The ideal candidate will need to possess strong interpersonal skills; strong oral and written communication skills; strong organizational and analytical skills. Additionally, to be successful, the right candidate must be a team player with strong customer service orientation.
Responsibilities:
• Review submitted expense reports (Concur) – involves checking compliance with firm policy, verifying approvals, reviewing & confirming allocations, and sending back any unclear/incorrect items.
• Maintenance of Credit Funds’ Deal List (deal codes used on Concur) – involves pulling current data from our pipeline tracking system and cross-checking against existing deal list to add/update accordingly.
• Assist with Concur system requests, such as profile inquiries or set-ups; verify personal expenses & lift audit rules for report submission; update/maintain employee receivables records.
• Assist with allocations for multiple monthly/quarterly/ad hoc invoices & requests, including black car, charter jet, & consulting services invoices; fund level T&E invoice review, distribution & reconciliation; Market Data services; employee time tracking allocations for Legal, IT, & Asset Management teams.
• Frequent interaction with Assistants across all teams/firm-wide; as well as internal Reporting, Accounting and Fund teams.
• Assist with ad hoc reporting requests from Compliance or Senior Management.
Qualifications:
• Bachelor degree preferred, or relevant business experience
• 1-3 years’ experience with Concur preferred
• Strong MS Office skills required, especially with Outlook and Excel
• Exemplary organization & time management skills required
• Strong attention to detail required
• Ability to multi-task and set priorities while meeting request deadlines
• Ability to work independently and communicate effectively with all levels firm-wide
• Bright, quick learner, self-motivated and adaptable
• Ability to troubleshoot and problem solve
